Cover Letter Blueprint

This is the finished deliverable. Replace [[tokens]].

1. Header (Use Real Contact Info)

[[Your Full Name]]

[[Your City, State or Remote]]

[[Phone]] | [[Email]] | [[LinkedIn or Portfolio URL]]

[[Date]]

[[Hiring Manager Name or "Hiring Manager"]]

[[Company Name]]

[[Company Address or "Remote"]]

2. Full Letter Template

[[Greeting: "Hi [[First Name]]," or "Dear [[Hiring Manager or Team]]," ]]

[[Hook: one specific line that references the role and a concrete match to their need or recent work.]]

I am excited to apply for the [[Exact Job Title]] at [[Company]]. [[One sentence tying your background directly to a key requirement or their recent achievement: e.g. "Your recent expansion into [[market]] matches the 3 years I spent scaling [[similar thing]] from 0 to [[X]]."]]

In my current role as [[Your Title]] at [[Current or Recent Company]], I [[quantified achievement 1 that maps to JD requirement 1: e.g. "led a cross-functional project that reduced onboarding time by 42% for 180 new users per month, directly improving the metric the team is now targeting."]]

Previously, at [[Previous Role]], I [[quantified achievement 2 mapped to another JD requirement: include numbers, scope, outcome]].

I am particularly drawn to [[Company]] because [[specific, researched reason: product direction, value, customer story, culture signal, recent news: not generic "innovative company"]]. [[One more sentence showing you understand their world and how you would contribute.]]

I would welcome the chance to discuss how my experience in [[relevant area]] can help [[Company]] achieve [[specific goal from JD or their stated priority]]. I am available at your earliest convenience and can be reached at [[phone]] or [[email]].

[[Sign-off: "Best," or "Thank you," or "Sincerely,"]]

[[Your Name]]

3. Achievement Mapping Exercise (Do This Before Writing)

List the job's top requirements on the left. Map your strongest proof on the right. Only use achievements that are recent, relevant, and quantified.

Job Requirement (from posting)Your Proof (quantified + role)
[[e.g. "Drive user growth"]][[e.g. "Grew activated users 3.2x in 9 months as Growth Lead at X by launching [[project]]"]]
[[e.g. "Cross-functional collaboration"]][[e.g. "Led weekly syncs across Product, Design, and Support; delivered [[feature]] on time for 120k users"]]
[[ ]][[ ]]

Use only the strongest 2–3 matches in the letter. The rest can go in your resume or be ready for interview stories.

4. ATS and Formatting Rules (Non-Negotiable)

  • One page maximum (roughly 300–400 words).
  • Standard section order above.
  • No tables, columns, headers/footers with critical info, or graphics.
  • Standard fonts (Arial, Calibri, Garamond, Helvetica 10–12 pt).
  • Keywords from the JD appear naturally: do not stuff.
  • File name: [[FirstNameLastNameCoverLetter_Company.pdf or .docx]]

5. Tone and Voice Guide

Match the relationship and industry.

  • Tech / startup: Direct, slightly conversational, results-first.
  • Corporate / regulated: Professional, precise, still human.
  • Creative / agency: Show personality while proving you can deliver.
  • Never: "I am a hard worker", "I am passionate about...", vague claims without numbers.

Read the letter out loud. If it sounds like something a real person would say in a meeting, you are close.

6. Before You Send Checklist

  1. Hook references the actual role and one real detail from the company or posting.

<blank line between>

  1. Every achievement has a number (%, $, time, users, revenue, etc.).

<blank line between>

  1. "Why this company" is specific and could not be copied to another application easily.

<blank line between>

  1. Letter fits comfortably on one page with 0.7–1" margins.

<blank line between>

  1. Keywords from JD appear in context (not forced).

<blank line between>

  1. No typos. Read it, then have the AI or a human read it again.

<blank line between>

  1. Saved with clear filename and correct format for the application system.

7. Quick Customization for Different Applications

Keep the structure. Swap only:

  • The hook (tailor to this role + company signal)
  • The 2–3 mapped achievements (reorder or swap to match this JD)
  • The "why this company" paragraph
  • The final CTA line if the ask differs

Everything else (your contact block, sign-off, overall length discipline) stays consistent so you move fast without quality loss.

Worked Examples

Example 1: Product Marketing Role at Growing SaaS

Hook: "Your launch of the new workflow builder directly addresses the onboarding friction I spent two years fixing at [[Previous Company]], where we cut time-to-value from 14 days to 6."

Achievements: 3.2x feature adoption, led GTM for 2 launches, collaborated with PMs on messaging that lifted trial-to-paid 18%.

Why them: Recent customer story + their public roadmap matched problems I had solved before.

Result: One page, strong CTA, interview secured.

Example 2: Engineering Manager at Scale-Up

Hook: Reference to their reliability incident post-mortem blog post + your experience running incident process at prior company.

Achievements: Grew team from 4 to 11, reduced MTTR 60%, shipped platform that served 40M requests/day.

Tone: Precise, calm, leadership-focused.

Example 3: Design Role at Mission-Driven Startup

Hook: Their mission page + a specific user story you related to + your past work on accessible [[product]].

Achievements: Redesigned flow that increased completion 27% for users with low vision; ran 30+ user interviews.

Voice: Warm, evidence-based, values-aligned.

Final Advice

A great cover letter does not repeat your resume. It tells a short, specific story: "Here is the problem they have, here is the proof I have solved similar problems, here is why them, here is the next step."

Write the first one with this blueprint. After the third or fourth, the structure becomes muscle memory and you can produce a strong tailored letter in 20–30 minutes.

Good luck: make every application count.

A one-page letter with a real hook, quantified proof, and a confident close: ready to send, not a fill-in-the-blank template.
Format & standard
03

What good looks like.

01

What it must include

Criteria
  • 01A hook tied to the actual posting, not a generic "I am writing to apply" opener
  • 022–3 quantified achievements mapped directly to the job's top requirements
  • 03Real evidence you researched the company, not filler about being a "team player"
  • 04A confident close with a clear next step: not a passive "I look forward to hearing from you"
  • 05One page, ATS-friendly formatting that won't get mangled by a resume scanner
  • 06A reusable structure so writing the next 5 applications takes minutes, not hours
02

Signals of expertise

Quality
  • Mirrors the job posting's language without sounding like it's parroting the JD back
  • Leads with a result, not a summary of your resume
  • Shows real research into the company: recent news, product, or values
  • Sounds like you, not like a template everyone else is also sending
03

Common mistakes

Pitfalls
  • ×Generic "To whom it may concern" openers that signal a mass-send
  • ×Restating the resume instead of adding new context
  • ×No quantified results: just adjectives
  • ×"I'm a hard worker and team player" filler that says nothing
